Managing a team of RPA professionals can be a challenging task, but with the right approach, it can also be a rewarding experience. As an expert RPA Leader who has worked in all capacities of an RPA team, I have had the opportunity to work with several teams and have learned a lot about what it takes to effectively manage them. In this blog post, I will share my insights on how to manage a high performing RPA team.

Set Clear Goal and Objectives.


 

As a manager of an RPA team, one of your most important responsibilities is to set clear goals and objectives for your team. This involves identifying the business processes that can be automated through RPA and determining the specific tasks that your team will be responsible for. By setting clear goals and objectives, you can ensure that your team is aligned with the organization's overall strategy and that everyone is working towards the same objectives.


To set clear goals and objectives, you should consider the specific needs and challenges of your organization. Identify the processes that are most time-consuming or prone to errors, and determine how RPA can be used to automate these processes. Establish specific performance metrics to track progress, such as the time saved by automating a particular process, or the reduction in errors. Word of caution, do not only go after "the biggest bang for the buck" opportunities as these processes will bog down your resources and get you started on the wrong foot. On the flipside, low hanging fruit is generally a quick win but can produce a lot of noise for your team to manage if you are expecting them to pull dual duty as production support and developing new processes simultaneously.


Once you've set your goals and objectives, communicate them clearly to your team. Make sure that everyone understands what they are working towards and why it's important. Consider using visual aids, such as charts or graphs, to help illustrate your goals and track progress. Create visual reports based on job logs and a share them with your team.

Do not micro manage and change priorities multiple times per day, at that point you are just wasting time and confusing your team. My recommendation is to look outside of the typical hires and find applicants with critical thinking skills. There is always more than one way to do things and you need a team that can think outside of the box. This allows you to take a holistic approach to RPA development and ensures that your team is aligned with the broader goals of your organization.


In addition to technical skills, it's important to look for team members who are collaborative, innovative, and willing to learn. RPA technology is constantly evolving, so it's important to have a team that is open to new ideas and willing to adapt to change. You cannot rely on resumes and interviews alone. Look inside your organizations for those that have proven they have the ability to learn and adapt to an ever changing environment; they will be your greatest resources.


To build a diverse and skilled RPA team, consider partnering with local colleges or universities to identify top talent in your area. You can also participate in industry events and conferences to network with other professionals and stay up-to-date on the latest trends and best practices.


Once you've built your team, it's important to invest in their ongoing development and training. This not only helps to improve the skills of your team members but also enhances their job satisfaction and retention. Note, you must allow for on-the-clock time for this to happen. Your team has a personal life and you need to respect that and give them time within their normal working hours to improve their skills so they can continue to be high performers for your organization. Do not take this for granted.

Do not expect each team member to be able to effectively perform all functions of an RPA Team. Do not expect to find many applicants with hands-on experience across all aspects of an RPA application from infrastructure set up, to application administration, to development and production support. Allow for team members to specialize and own a responsibility on the team, this will encourage them and you can allow them time to learn and grow in other areas as mentioned above.


When establishing roles and responsibilities, consider the specific skills and experience of each team member. Assign tasks based on each team member's strengths and interests, and ensure that everyone has a clear understanding of their responsibilities.


It's also important to establish clear lines of communication and collaboration between team members. This allows for a smooth flow of information and ensures that everyone is working towards the same goals. This may include IT teams, business analysts, and executives. By keeping everyone in the loop and encouraging collaboration, you can ensure that RPA projects are aligned with organizational goals and objectives.
